TERMS AND CONDITIONS


1. Enrolments

We are a term based swim school who charge monthly.


Our fees are paid monthly in advance via direct debit (credit card, debit card, or bank account). The monthly amount is automatically adjusted based on the number of lessons scheduled for the month. If the swim school is scheduled to be closed, or there is a public holiday, the billing will be adjusted automatically – you are not charged for these days.


Payments are processed on the 1st of each month via our payment provider, Payrix. Payrix charge processing fees, which are clearly outlined in our Billing Policy as advised during the signup process. These fees vary depending on payment type.


There is no fixed term contract, and you can cancel anytime. You must provide 14 days’ notice (in writing or via our Customer Portal).

Enrolments are secured once payment has been received.


2. Re-Enrolling for the Next Term

You are enrolled in our Learn to Swim program until you request a class enrolment withdrawal (drop). See section 4. Enrolment Withdrawals (Drops) below for details.


You do not need to re-enrol each term.


3. Request for Lesson Changes (Transfers)

You can change your lesson day/time at any stage throughout the term, given that the change is to same level that the student is currently enrolled. Whilst every effort is made to accommodate requests for change, it is dependent on the availability of vacancies, and no guarantee can be given to accommodate requests.


These changes MUST be done via the Customer Portal under Your Students > Enrolments > Transfer Enrolment.


4. Enrolment Withdrawals (Drops)

An enrolment withdrawal can be requested at any stage. There is no fixed term contract, and you can cancel anytime. You must provide 14 days’ notice.


All withdrawals MUST be in writing or administered via the Customer Portal under Your Students > Enrolments > Drop Enrolment.


Our Customer Support team will contact you to confirm your enrolment withdrawal.


5. Failed Payments

If the bank rejects a transaction, an alternative payment must be made. Failed payments remain due and payable. Any costs incurred in the processing of your fees will be passed on to you. Payrix charge failed payment processing fees, which are clearly outlined in our Billing Policy as advised during the signup process.


6. Absences – Group Learn to Swim Lessons

Absences MUST be marked via the Customer Portal under Your Students > Future Absences.


Makeup lessons MUST be booked via the Customer Portal under Your Students > Makeups.


All Aquastar swimmers are eligible to receive unlimited makeup lessons.


ELIGIBILITY, TERMS & CONDITIONS
  • You must have an active enrolment.
  • Your fees must be up to date.
  • You must give at least 2 hours' notice of absence (via the Customer Portal or App) prior to the class start time.
  • Makeup lessons must be booked via the Customer Portal or App.
  • Makeup lessons can only be booked after the date of the notified absence.
  • Makeup lessons can only be booked up to 7 days in advance.
  • Makeup lessons may be taken at any one of our 5 locations on any day, if a suitable lesson is available.
  • Makeup lesson tokens will expire after 90 days from notified absence.
  • Makeup lesson tokens cannot be exchanged for a refund or credit.
  • Makeup lesson tokens apply to the individual swimmer only and are not transferrable.
  • If the makeup lesson is cancelled or unattended, the lesson / makeup token will be forfeited.
  • We cannot guarantee makeup lessons with a specific teacher or your preferred time.
  • Makeup lessons are subject to program availability.


7. Absences – Private Lessons

Absences MUST be marked via the Customer Portal under Your Students > Future Absences.


Swimmers are permitted a maximum of 2 lesson credits (50% of the lesson fee) per term, upon giving 24 hours’ notice of absence prior to the class.


8. Absences – Holiday Intensive Program

No makeup lessons, credits, or refunds will be given for missed or cancelled lessons during Holiday Intensive Programs.


9. Extended Illness / Medical Certificates

For extended illness or injury, please contact Aquastar Accounts via email accounts@aquastarswim.com.au (with a medical certificate) when the illness or injury occurs to discuss your options for the remainder of the term. These circumstances are evaluated on an individual basis. Backdated medical certificates, without prior knowledge to the swim school, will not be accepted.


10. Public Holidays and School Holidays

Classes do not run on public holidays or term school holidays, and do not form part of your account. A Holiday Intensive Program may be run during school holidays, which can be enrolled into separately.


11. Teacher and Time Changes

The swim school reserves the right to change swim teachers or move students if the need arises. Although we strive to maintain consistency with swim teachers, this is not always possible.


12. Swimming Attire

All students who are not fully toilet trained must wear correct aqua nappies whilst in the pool. All students (except for those in the parent child classes) are required to wear a swim cap. It is recommended that all students (except babies) wear goggles. Please refrain from dressing your child in board shorts, rash vests, or bikinis.


13. Parental Supervision

All children enrolled in our Learn to Swim Program must be accompanied by a parent or guardian older than 16 years while at the swim school centre. They must also be collected by a parent or guardian at the end of each lesson and cannot be left unattended at the pool side.


No child may enter the water until a swim teacher is present.


14. Photos and Videos on Pool Premises

Photographs or video footage are not allowed to be taken of a child or children whilst they are in the centre. Parents and relatives/friends wishing to take images of their child/ren during class must obtain consent from all other parents or guardians whose children are in the same class and the Deck Supervisor.


15. Miscellaneous

  • Students and parents are not permitted in the pool before or after class.
  • Toys on the pool deck are for class use only.
  • Please refrain your children from disturbing lessons that are in session.
  • Children aged 7+ are not permitted in the opposite sex change room.
  • All unclaimed lost property will be donated to charity at the conclusion of each term.


16. Privacy Statement

The personal information collected by Aquastar Swim Schools is used for swim school use only. Information such as medical details is required to assist in accommodating individual needs and abilities.
